AI Document Scanning Data (Pro only)

  • Images or PDFs you upload for extraction (sales/purchases). Content is sent to trusted AI processors (e.g., OpenAI) to generate structured suggestions.

Usage and Quota Data

  • AI scan usage counts per business to enforce monthly quotas (100 scans per business on Pro).
  • Basic service telemetry to ensure sync and licensing operate correctly (no advertising profiles).

2. How We Use Your Information

  • Operate the application (transactions, reports, cash flow, multi-business management).
  • Provide sync and multi-device access for Pro users.
  • Process AI document scans and return suggested records for your review.
  • Enforce plan limits, AI quotas, and business ownership limits.
  • Maintain security, prevent abuse, and comply with legal obligations.
  • We do not use your data for advertising or marketing profiles.

3. Data Storage and Security

  • Local Storage: Data is stored on your device for offline use.
  • Cloud Storage: For online features, data is stored securely in a private database with access controls.
  • AI Processing: Documents you submit for AI extraction are transmitted to trusted processors solely to return suggested data. We do not retain these documents beyond the processing operation; processors may retain limited logs per their policies.
  • Security: We use technical and organizational measures to protect against unauthorized access, disclosure, alteration, or destruction.

4. Data Sharing

  • We do not sell your data.
  • We share data only with service providers necessary to operate the app (e.g., hosting, AI processing). These providers are bound by confidentiality and data protection obligations.
  • Team members of a business can see shared business data according to app permissions.

5. Data Retention and Deletion

  • Account and business data are retained while your account is active or as needed to provide the service.
  • AI usage counts are retained to enforce quotas and for billing/abuse prevention.
  • Documents submitted for AI extraction are not kept after processing, except for minimal operational logs.
  • You may request deletion of your account; deleting your account removes associated business data unless retention is required by law.

  • Keep your login and devices secure.
  • Input accurate data and respect others’ data when collaborating.
  • Obtain appropriate consent from team members you invite and from individuals whose data you store.
